Legal
Privacy Policy
Walk With Us Kokoda is a program of Raising the Bar Foundation Limited (ABN 70 658 114 188) ("we", "us"). We respect your privacy and handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
When you register your interest, apply for a trek or sponsorship, donate or contact us, we may collect:
your name, contact details, date of birth and emergency contacts;
service history and information about your connection to the veteran or first-responder community;
health information, such as medical history, fitness, medications and mental health information, so we can assess whether the trek is safe for you and plan support;
passport, travel and insurance details for confirmed participants;
photos, video or stories you choose to share with us.
We only collect sensitive information (including health information) with your consent and where it's reasonably necessary for the program.
How we use it
We use your information to assess applications and sponsorship eligibility, organise and run the trek safely, manage travel, insurance and medical requirements, keep in touch about the program, and report to our sponsors in a way that doesn't identify you unless you agree.
Who we share it with
We share only what's needed with:
our trek operator, guides and medical providers, for your safety on the track;
travel, insurance and visa providers for confirmed participants;
sponsoring organisations, for selection and reporting (health information is not shared with sponsors without your consent);
our selection panel, who keep it confidential.
Some of these providers may be located overseas, including in Papua New Guinea, where the trek takes place. We won't sell your information.
Storage and security
We store information in secure online systems with restricted access and keep it only as long as we need it for the program, legal and insurance purposes, after which it's deleted or de-identified.
Photos and stories
We'll only use your photo, video or story publicly with your permission. You can withdraw that permission at any time for future use.
Access, correction and complaints
You can ask to see or correct the personal information we hold about you, or make a privacy complaint, by emailing info@walkwithuskokoda.org.au. We'll respond within a reasonable time (usually 30 days). If you're not satisfied, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au.
Changes
We may update this policy from time to time. The current version is always on this page.
